The services module enables you to create a service catalog that participants can browse and order from. Services are tracked from order to fulfillment and billing.

Service Order Workflow

Complete order lifecycle:

  • 1. Admin Creates Catalog - Define services with prices, units, and descriptions
  • 2. Enable for Event - Select which services are available for each event with optional price overrides
  • 3. Set Deadlines - Configure order deadline and early bird pricing period
  • 4. Participant Browses - Participant views available services in portal, organized by category
  • 5. Adds to Cart - Participant adds services to shopping cart with quantities
  • 6. Submits Order - Participant converts cart to order. Status: "Submitted"
  • 7. Admin Confirms - Admin reviews and confirms order. Status: "Confirmed"
  • 8. Items Fulfilled - Each item tracked individually: Pending → In Progress → Completed
  • 9. Order Completed - When all items fulfilled, order status: "Completed"
  • 10. Invoiced - Service costs added to participant invoice

Service Order Statuses

Order-level status tracking:

  • Submitted - Participant has placed the order. Awaiting admin confirmation
  • Confirmed - Admin approved the order. Services will be provided
  • Cancelled - Order was cancelled (by admin or participant)
  • Completed - All items have been delivered/fulfilled

Item Fulfillment Statuses

Per-item delivery tracking:

  • Pending - Item not yet started. Initial status after order confirmation
  • In Progress - Work has begun (e.g., furniture being set up)
  • Completed - Item has been delivered/performed
  • Cancelled - Individual item was cancelled (rest of order continues)

Creating Services

Define your service catalog:

  • Service Name - Clear name (e.g., "Additional Power Connection 16A")
  • Description - Detailed description of what's included
  • Base Price - Standard price before event-specific overrides
  • Unit Type - Piece, Day, Hour, Square Meter, Meter, kW, etc.
  • Tax Rate - Applicable VAT rate (19%, 7%, or 0%)
  • Category - Group services (Electricity, Furniture, Catering, etc.)
  • Min/Max Quantity - Set order limits per participant
  • Lead Time - Days needed before event to fulfill this service
  • Requires Specification - If participant must provide additional details (e.g., food allergies)

Event-Specific Configuration

Customize services per event:

  • Enable/Disable - Select which services are available for each event
  • Price Override - Set event-specific pricing different from base price
  • Early Bird Price - Discounted price for orders before early bird deadline
  • Early Bird Deadline - Date until early bird pricing applies
  • Order Deadline - Last date participants can order this service
  • Inventory Limit - Maximum total quantity available for this event

Managing Orders

Processing incoming orders:

  • Order List - View all orders filterable by status, event, participant
  • Order Detail - See all items, quantities, prices, and specifications
  • Confirm Order - Approve the order for fulfillment
  • Reject Order - Decline with reason (e.g., sold out)
  • Update Fulfillment - Mark items as in progress or completed
  • Add to Invoice - Generate invoice line items from confirmed order

Service Categories

Organize your catalog:

  • Create Categories - Group related services (Technical, Furniture, Catering)
  • Category Order - Set display order in participant portal
  • Category Icons - Optional icons for visual identification
  • Category Description - Help text shown to participants

Tips

  • Set order deadlines well before the event to allow time for fulfillment
  • Use early bird pricing to encourage early orders and better planning
  • Group related services into categories for easier navigation
  • Track fulfillment at item level for complex orders
  • Export service orders to coordinate with suppliers and contractors
  • Common services: Power, WiFi, Furniture, Signage, Catering, Parking, Storage

Notes

  • Participants can only order services for events they are registered for
  • Cancelled orders should be handled with care if already invoiced
  • Inventory tracking prevents overbooking of limited services
  • The shopping cart persists across sessions until submitted
  • Service prices can include tax or be shown as net prices (configurable)
